English version
1. Wie verwerkt je gegevens
Revivo Recycling BV, Woestijnepark 10, 9880 Aalter, België, ondernemingsnummer BE 1041.663.402, is verwerkingsverantwoordelijke.
Mail info@revivo-recycling.be of bel 09 396 03 96.
3. Over wie we gegevens verwerken
Agenda en to-do's
- Welke gegevens
Andere bronnen:
- een visitekaartje dat de persoon zelf gaf;
- de website van het bedrijf waar de persoon werkt;
- VIES, de dienst van de Europese Commissie om btw-nummers na te kijken;
- het adressenregister van de Vlaamse overheid en OpenStreetMap, om een adres te vinden en op de kaart te zetten;
- voor leveranciers: de aankoopfacturen in onze boekhouding (§8, Buiten de app);
Ducatus is onze verwerker (art.

Aankoopfacturen komen zo binnen in Exact Online.
- Supabase: gegevens in Frankfurt.
- Vercel: gegevens in Frankfurt.
- Sentry: gegevens in Frankfurt.
10. Hoe lang we gegevens bijhouden
- een contactpersoon die je met Bewaar op mijn gsm in je adresboek zette (dat kan met iCloud of Google synchroniseren);
- een PDF die je opent of deelt;
- wat je kopieert naar het klembord;
13. Je rechten
Je hebt het recht om:
- te weten welke gegevens we van je hebben, en er een kopie van te krijgen;
- gegevens die niet kloppen te laten verbeteren;
- je gegevens te laten verwijderen, bijvoorbeeld als we ze niet meer nodig hebben, als je terecht bezwaar maakte of als we ze onrechtmatig verwerken. Wat we wettelijk moeten bewaren, zoals facturen, verwijderen we pas na die termijn;
- de verwerking te laten beperken;
- gegevens die je ons zelf gaf voor een overeenkomst, in een gangbaar formaat te krijgen (overdraagbaarheid);
Bezwaar tegen direct marketing.
- Drukpersstraat 35, 1000 Brussel;
- +32 2 274 48 00, contact@apd-gba.be;
- www.gegevensbeschermingsautoriteit.be.
- je aanmeldaccount: je aanmeldgegevens en je sessies;
- je to-do's, je profielfoto, de koppeling met je Microsoft-mailbox (ook met je Outlook-agenda), je afspraken uit Outlook en uit agenda's via een link, die links zelf, en de PDF's die je in de app opende of maakte;
- je e-mailadres op de lijst van testers van Google Play;

- 29 oktober 2026
- Je Outlook-agenda en privé-agenda's via een link, als je dat zelf aanzet: wat we lezen en schrijven, wie wat ziet (collega's alleen "bezet", ma–vr 7–17 u) en hoe lang (§4, §5, §8, §10 en §14).

Privacy policy for the Revivo Admin app
Last updated: 29 October 2026. The changes are listed at the bottom. This is a translation of the Dutch policy above; if the two differ, the Dutch version prevails.
This policy explains which personal data Revivo Recycling BV processes through the Revivo Admin app for iPhone and Android, and in the customer records that we use with the app and on our dashboard: of the employees who use the app, and of customers, suppliers, prospects and contact persons. It explains why we do so, on which legal basis, with whom we share data, how long we keep it and what rights you have. Our website is covered by the privacy policy of the website (in Dutch).
1. Who processes your data
Revivo Recycling BV, Woestijnepark 10, 9880 Aalter, Belgium, company number BE 1041.663.402, is the data controller. We follow the General Data Protection Regulation (GDPR) and the Belgian Act of 30 July 2018 on the protection of personal data.
Questions about this policy or your data? Email info@revivo-recycling.be or call +32 9 396 03 96. We have not appointed a data protection officer; we are not required to.
2. Who the app is for
Revivo Admin is a work tool for the employees of Revivo Recycling BV. You cannot register yourself in the app: only a work email address that an administrator at Revivo has given access can sign in.
Employees use the app on their own phone. Revivo does not manage that phone and does not see what you do outside the app. Only for the installation on Android do we know the email address of your Google account (section 8).
The app is not intended for minors.
3. Whose data we process
- Employees who use the app. Your work email address, your name, your permissions and what you record in the app.
- Customers, suppliers and their contact persons. People at companies we work with, and private individuals who are customers.
- Prospects and their contact persons. Companies and private individuals who contacted us themselves or asked for a quote, but are not (yet) customers. We do not use our customer records to approach new customers unsolicited.
- People on a business card or on a company's website. We process their data when an employee has a business card read, or has a company's details filled in from that company's website.
- Owners of parcels. When an employee measures a site, the address and the parcel number appear in the report. Through the land registry, that number can lead to the owner. The app does not look up the owner, and the report does not mention them.
4. What data, why, and on which legal basis
Sign-in and access
- Which data
- Your work email address, a user ID, your name and your permissions. A one-time code sent by email. Each time a code is requested: the IP address of your connection. When a code is entered: your email address and that IP address. For each session, our sign-in system keeps the IP address and the type of device for as long as you stay signed in. It also keeps a trail of every sign-in, with IP address and device (section 10).
- Why
- Letting in only employees with access, and preventing code guessing and other abuse.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in securing our systems and the data in them (f).
Security trails
- Which data
- Your account's trail: when your account was created, renewed, blocked or released, or moved to another address, whether that succeeded, and which administrator had it done, with your user ID and your email address. When you ask to delete your account: when you asked, when it was carried out or withdrawn, and whether the emails were sent. If you are an administrator: what you changed on our dashboard in sensitive data (bank details, house style, general terms and conditions, document templates and weighbridges), and when, with your email address.
- Why
- Being able to check who changed an account or a sensitive setting, detecting abuse, and showing that we carried out a request to delete.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in securing our systems and showing what we did (f).
Customer records (CRM)
- Which data
- Of companies and private individuals: name, address and the location on the map, VAT number, phone, email, website, type, labels, status and notes. Of contact persons: first name, last name, job title, phone and email. Notes, calls an employee logs themselves (with whom, when, how long, a summary) and appointments. For notes, calls, appointments and new companies: who recorded it and when.
- Why
- Following up customers, suppliers and prospects, making appointments and knowing who agreed what.
- Legal basis (GDPR Art. 6(1))
- For private individuals and sole traders who are customers or asked for a quote: their name, address and contact details, to carry out the quote or the order (b). For notes, calls, appointments and further follow-up, and for contact persons at companies: our legitimate interest in following up our customer relationships (f).
Viewing sales data
- Which data
- Job sites (name, address and the customer's reference), contracts, orders, quotes, invoices and price lists, as they appear on our dashboard. The app only shows them; creating and sending does not happen in the app. Our server creates a PDF at your request.
- Why
- Letting an employee check on the road what a customer received or has to pay.
- Legal basis (GDPR Art. 6(1))
- For private individuals and sole traders: performance of the contract (b). Otherwise our legitimate interest in answering customers' questions on the road as well (f). We keep the invoices themselves because the law requires it (c).
Figures (administrators only)
- Which data
- Tonnage and revenue per waste stream and per customer, purchases per supplier, and outstanding and yet-to-be-invoiced amounts.
- Why
- Monitoring the business.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in monitoring revenue, purchases and work per waste stream, per customer and per supplier (f).
Calendar and to-dos
- Which data
- Appointments (title, time, place, description, company or contact person), the colleagues you invite and whether they accept. Your own to-dos: only you see them in the app.
- Why
- Planning work and making arrangements together.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in planning work between colleagues (f).
Your Outlook calendar and other calendars, if you switch this on yourself
- Which data
- From your Outlook calendar (Microsoft 365) and from private calendars you add yourself with a secret link (Google, iCloud, Outlook.com): for each appointment between 30 days back and 180 days ahead, the subject, the place, the start and end, whether it lasts all day, how it shows the time (for example free, busy or away), whether it is private, whether you organise it, and the link to open it in Outlook. Not the content, not the attendees and not the attachments. The secret link of a private calendar, encrypted. What you plan in Revivo Admin, we put in your Outlook calendar (title, time, place, description and who you invite). If you invite a customer: that person's name and email address, and their reply.
- Why
- One calendar: seeing your appointments from Revivo Admin and from Outlook together, and planning without double bookings.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in planning the work between colleagues (f). You switch it on yourself, and you can always switch it off again.
Search
- Which data
- What you search for: a name, a VAT number or an address.
- Why
- Showing results.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in being able to use the customer records smoothly (f).
Having a business card read (AI)
- Which data
- The photo of the card, with the details of the person on it.
- Why
- Filling in the fields of a new contact person for you (see section 7).
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in taking over contact details quickly and without typos (f).
Filling in from a website (AI)
- Which data
- The web address and the text of a few pages of that website. Sometimes the company's name, address and activity, for one web search. What the AI returns: company details and up to five people with their job title, email and phone.
- Why
- Completing a company record. You choose which people to add (see section 7).
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in taking over company details quickly and correctly (f).
Address search and VAT check
- Which data
- The address you type. The address of a company, a private individual or a job site that we store, to place it on the map. A company's VAT number; it goes to VIES through our server.
- Why
- A correct address, the location on the map and a company's official name.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in having correct addresses and official names in our customer records (f).
Map, measuring and reports
- Which data
- Your position, only on your device. The map tiles you view, with your IP address, at the map services (section 8), and for the aerial photo at our server (section 6). The address of a job site you put on the map. A measurement or volume calculation as a PDF: the map image of the measured place, the address, the municipality and the parcel, the figures, the date and the employee's name (or else email address).
- Why
- Finding companies, job sites and parcels on the map, and being able to share and keep a measurement.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in finding and measuring places on the road, and in sharing and keeping a measurement as a working document (f).
Error monitoring (Sentry)
- Which data
- If error monitoring is on in your version of the app (you can see this in Meer › Instellingen, under Over; More › Settings, under About), then when an error or crash occurs: the error message and the place in the code where it occurred, your device model, the operating system and app version, the name of the screen and of the screens you opened just before, and a random number per installation. Sentry also receives the IP address of your connection. The app itself adds no names or customer data to a report, and removes email addresses and phone, VAT and account numbers from the reports it sends. An error message may still contain a piece of text, such as the name of a company.
- Why
- Finding and fixing errors.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in keeping the app working and secure (f).
App updates (Expo)
- Which data
- At every start, the app checks whether a new version is available. The request includes your IP address, the platform, the version, the update channel and a random number per installation. After a crash at start-up, a technical error message is sent as well.
- Why
- Getting a safe, working version to everyone quickly.
- Legal basis (GDPR Art. 6(1))
- The number on your device is needed to deliver the updates to you (Art. 10/2 of the Belgian Act of 30 July 2018). What Expo receives: our legitimate interest in getting fixes and improvements to everyone quickly (f).
Technical logs
- Which data
- IP address, time, the requested page with what it contains (for example an address or quote number you searched for, the name of a company the AI read, or the map tile of an aerial photo) and error messages, at our server (Vercel) and our database (Supabase). At Microsoft, the sending details of the email with your code: to whom, when and the subject.
- Why
- Securing the service, detecting abuse and fixing errors.
- Legal basis (GDPR Art. 6(1))
- Our legitimate interest in securing our systems and keeping them working (f).
Legitimate interest. Where we rely on our legitimate interest, we have assessed whether your interests and rights outweigh it. You can request that assessment at info@revivo-recycling.be. You can also object (section 13).
Reading with AI is the user's choice. The app asks in advance whether you want to use the AI, and you can switch it off at any time. That choice is a setting in the app, not consent within the meaning of the GDPR. The processing is based on our legitimate interest. The person on the card or website can object to it (section 13).
Who sees your calendar. Only you see your full appointments from Outlook and from a calendar via a link, not even an administrator. Your colleagues only see when you are busy, and only from Monday to Friday between 7:00 and 17:00: the start, the end and whether you are busy, tentative, away or working elsewhere, without subject, place or other details. Outside those hours they see nothing. A private appointment and anything from a calendar via a link they only see as "busy". We never write in a calendar via a link. If a colleague changes your appointment in Revivo Admin, it also changes in your Outlook calendar.
Do you have to provide data?
- Employees. You need your work email address to sign in; without it you cannot use the app. The AI features, the camera and your location are optional. Without AI you fill in the details yourself; without location you use the map without your position.
- Customers and contact persons. You are not required to give us data. Without it, however, we cannot follow you up as well. As a customer, we may then sometimes be unable to carry out or invoice an order.
Calls. If you tap Call in the app, the app asks on your return whether you want to log the call. It estimates the duration from the time you spent outside the app. The app does not read your call history.
What the app does not do:
- It does not send your GPS coordinates to Revivo (see section 6).
- It does not read your call history, the calendar on your phone or your address book. Our server only fetches your Outlook calendar and a calendar via a link if you switch that on yourself (section 4).
- It shows no ads. It does not track you across other apps or websites, and it shares nothing with ad networks or data brokers.
- We do not make decisions about anyone based solely on automated processing (Art. 22 GDPR). The figures per customer are overviews of revenue and payments for administrators; we do not use them to assess anyone automatically.
5. Where the data comes from
Most data is entered by an employee after a conversation, an email or a visit. Other sources:
- a business card the person handed out;
- the website of the company the person works for;
- VIES, the European Commission's service for checking VAT numbers;
- the address register of the Flemish government and OpenStreetMap, to find an address and place it on the map;
- for suppliers: the purchase invoices in our accounts (section 8, Outside the app);
- your Outlook calendar and the private calendars you add yourself with a link, if you switch that on (section 4).
If you gave us a business card yourself, you will find the link to this policy below our employees' emails.
If we took your data from the website of the company you work for, we tell you that we found it there, with a link to this policy: in our first email to you, and at the latest one month after we stored it.
If the AI read a website or a card but nobody stored your data, we do not keep it and you receive no message. This explanation is here for you.
Do you want to know what data we hold about you, or where it came from? Email info@revivo-recycling.be.
6. Permissions on your device and your location
The app only asks for a device permission when you use the feature:
- Camera: to take a photo of a business card. The app only asks after you have chosen reading with AI.
- Photos: to pick a photo of a business card, with your device's photo picker. This usually needs no permission; the app only sees the photo you choose.
- Location, only while you use the app: on the Map, to show your position and nearby companies. Your GPS position stays on your device: the app does not send your coordinates to Revivo. The map also works without location.
- Contacts: the app does not read your address book. Bewaar op mijn gsm (Save to my phone) opens your device's own form to add a contact person; you tap save yourself.
Map tiles. If the app may use your location, the Map opens on your own neighbourhood. The map tiles loaded then show roughly, to within a few hundred metres, where you are. They go to the map services (section 8), and for the aerial photo usually to our own server. That server keeps the IP address and the map tile for at most one day in a technical log, without your name. We do not use that log to find out where you are.
You can withdraw a device permission in your iPhone or Android settings, under Revivo Admin. The app then keeps working, only that feature does not.
The app does not use the microphone or background location, and it does not send notifications.
7. Reading with AI (Anthropic)
Two features use Claude, the AI from Anthropic:
- Scanning a business card. The photo of the card goes through our server to Anthropic. Anthropic recognises the name, job title, company, phone and email address. Our server then checks whether that company is already in our customer records.
- Filling in from a website. Our server first reads the home page and a few pages such as contact or about us itself, and sends the web address and that text to Anthropic. If reading fails, Anthropic reads the website itself, that domain only; the website's owner can see that request. The AI extracts the company details, and up to five people with their job title, email and phone.
If no VAT number is found anywhere on the website, the AI may run one web search with the company's name, address and activity. Anthropic uses an external search service for this. The VAT number you enter yourself is not sent to Anthropic; it goes to VIES through our server.
Your choice. Before you use either feature for the first time, the app explains what happens. It asks whether you want to use the AI. You can switch this off at any time in Meer › Instellingen (More › Settings). If you choose Zelf invullen (Fill in myself), nothing is sent to Anthropic. The AI can make mistakes: check everything before you save.
What Anthropic does with the data.
- The contract for the AI is with Anthropic Ireland, Limited (Dublin). The processing takes place at Anthropic PBC and its subcontractors.
- Anthropic stores the data in the United States. The reading itself may also take place in other countries outside the EU.
- Anthropic processes the data on our behalf and does not train its AI with it.
- Anthropic deletes the data within 30 days.
- If Anthropic's safety system suspects misuse, Anthropic may keep the data for up to two years, and that system's assessment for up to seven years. This is part of the security of the service, which Anthropic carries out as our processor under its data processing agreement.
- Anthropic keeps data longer only if the law requires it.
What Revivo keeps. Revivo does not keep the photo of the card. Our server keeps nothing of what the AI read. Only the technical logs (section 10) may contain a company name or web address for a few days. What you check and save goes into our customer records.
8. Who we share data with
We do not sell data. Revivo has the app, the dashboard and the server built and managed by Ducatus BV (Geldmunt 41 bus 002, 9000 Gent, company number BE 1021.731.385), the management company of our managing director. Ducatus is our processor (Art. 28 GDPR) and has access to the data for that purpose. Ducatus may not use the data for its own purposes. To make the app work, Ducatus engages the service providers below, as sub-processors, with the same obligations. They process the data on our behalf. With Supabase, Vercel, Microsoft, Anthropic and Expo, a data processing agreement applies (Art. 28 GDPR), which is part of their terms. With Sentry, we conclude one before we switch on error monitoring. Such an agreement requires them to use the data only on our instructions, to secure it and to report a breach. Your data therefore receives the same protection with them as in this policy. For their own business operations, such as billing and the security of their service, and in Expo's case for anonymised usage figures, some of them are controllers themselves, under their own privacy policies.

The following services are not our processors. They process what they receive themselves, under their own policies.
Map services. They receive your IP address and the map tile or point you request directly from your device:
- OpenFreeMap (Hyperknot Software Kft., Hungary): the base map, possibly through Cloudflare's network. OpenFreeMap keeps error logs with IP addresses for 7 days.
- Digitaal Vlaanderen: parcels and elevation. We usually fetch the aerial photos through our own server. Digitaal Vlaanderen keeps its logs for at most 90 days.
- IGN Géoplateforme (France): the world imagery outside Flanders.
- The Flemish Environment Agency: the flood maps.
- The Flemish Department of Environment: the zoning of a parcel.
Addresses and VAT numbers. These requests go through our server: the services see the address or the VAT number, not your IP address.
- The Flemish government's address register: the address you search for, or of a job site you put on the map.
- Nominatim from the OpenStreetMap Foundation (United Kingdom): the same, if the address register does not find the address. In addition, the address of every company, private individual and job site we store, to place it on the map. For a private individual, that is usually their home address.
- VIES from the European Commission, on behalf of the tax authorities of the Member States: the VAT number.
These services receive only what is in the request: a map tile, an address or a VAT number. They receive no data from your account and no other data from our customer records. They are based in the EU or the United Kingdom. They are themselves subject to the GDPR or an equivalent law; for VIES, that is the data protection rules for the EU institutions.
Private calendars via a link. If you add the secret link of a private calendar yourself (Google, Apple iCloud or Microsoft Outlook.com), our server fetches that calendar there. You choose that service yourself. It processes your calendar under its own policy, and receives nothing from us other than the request for that calendar.
Apple and Google.
- Apple delivers the app through the App Store. What Apple processes at installation falls under Apple's privacy policy. If you turned on "Share with App Developers" on your iPhone, we receive crash reports and usage figures for the app through Apple, without your name.
- Google delivers the app through Google Play. For Android, we add the email address of your Google account to the app's list of testers; otherwise you cannot install it. If you share usage and diagnostics data on Android, we receive anonymised crash figures through Google.
An employee's address book. Employees use the app on their own phone. With Bewaar op mijn gsm (Save to my phone), an employee can save a contact person to their phone's address book; that is their own decision. If that address book syncs with iCloud or Google, the data is also stored there, under the employee's account. We ask employees to do this only for people they need for their work, and to delete those contacts when they leave.
Outside the app. We also use the customer records on our dashboard, for quotes, invoices and the accounts. In doing so, data of customers and suppliers also goes to:
- Microsoft 365: the emails with which we send quotes and invoices, from info@ or from the own mailbox of an employee who linked it on our dashboard, and the invitations for an appointment that an employee sends from their Outlook calendar. A copy stays in the sent items.
- Our external accountant and Exact Online, the software in which our accounts are kept: invoices, credit notes and purchase invoices, with the data on them. From the purchase invoices in Exact Online, we also take the details of suppliers into our customer records.
- Our bank and Ponto (Isabel Group): through Ponto, we retrieve our bank statements from our bank, with the name and account number of whoever pays us or whom we pay. We use them to match payments to invoices.
- Peppol: invoices we receive or send over the Peppol network go through a Peppol service provider, with the data on the invoice. This is how purchase invoices arrive in Exact Online.
Apart from this, we only disclose data when the law requires us to, for example to the tax authorities.
9. Data outside the European Economic Area
Ducatus is based in Belgium, within the European Economic Area. The transfers below apply to the sub-processors (section 8).
Some of our service providers are based outside the European Economic Area, or work with subcontractors outside it. Per service provider:
- Supabase: data in Frankfurt. Support takes place from Singapore and the US, based on the European Commission's standard contractual clauses.
- Vercel: data in Frankfurt. A transfer to the US is based on the EU-U.S. Data Privacy Framework (DPF) and the standard contractual clauses.
- Microsoft: data in the EU. For the limited transfers Microsoft documents: the DPF and the standard contractual clauses.
- Sentry: data in Frankfurt. Data about our account is stored in the US, based on the DPF and the standard contractual clauses.
- Anthropic: processing outside the EU, mainly in the US, based on the standard contractual clauses in Anthropic's data processing agreement. Anthropic is not certified under the DPF.
- Expo: processing in the US, based on the DPF and the standard contractual clauses in Expo's terms.
The DPF applies today. Should it lapse, the standard contractual clauses already in the agreements continue to apply.
Nominatim is located in the United Kingdom. The European Commission has recognised an adequate level of protection for that country (renewed until 27 December 2031).
You can request a copy of these safeguards at info@revivo-recycling.be.
10. How long we keep data
- Your account (work email address, user ID)
- As long as you have access. If you ask us yourself to delete your account, we switch off your access immediately and delete your account within 7 days (section 14). If your access stops for another reason, for example when you leave, we switch it off immediately, and an administrator deletes your account within 7 days after we learn that you have left.
- Your data as an employee in this database (name, work email address, phone, job title, profile photo)
- As long as you work at Revivo. Your profile photo until you remove it or your account is deleted. After you leave, we keep your phone and job title no longer than needed to handle your departure, and we delete them at the latest at the annual review in January. Your name stays with orders, tasks and appointments you handled, for as long as those are kept, so that we know who did what (legitimate interest). Your personnel file falls under social legislation and is not in the app.
- The link with your own Microsoft mailbox (your address and an encrypted key), if you created it on our dashboard
- Until you unlink it or your account is deleted
- Appointments from your Outlook calendar and from calendars via a link, if you switched this on
- Only from 30 days back to 180 days ahead. At a synchronisation (when you open the Calendar) the window moves along, and we delete what falls outside it. If you do not use the Calendar for a while, what was there stays until the next synchronisation. If you switch it off, unlink your mailbox or remove a link, we delete those appointments immediately, and also when your account is deleted.
- The secret link of a private calendar (encrypted)
- Until you remove it or your account is deleted
- Your sessions (IP address, type of device)
- Until you sign out or your account is deleted
- The sign-in trail of our sign-in system (time, IP address, device, email address)
- At most 7 days in Supabase's logs. If the trail is also stored in our database, we delete it there at the latest at the annual review in January.
- Sign-in attempts
- The IP address of a code request: deleted once it is older than one day, at the next sign-in attempt by anyone. An entered code (email address and IP address): deleted after a successful sign-in from the same IP address, otherwise as above.
- Your account's trail (created, renewed, blocked, released or moved, by which administrator, with your user ID and your email address)
- Up to two years after each step, even if your account has since been deleted, so that abuse can be investigated
- As an administrator: the trail of what you changed on our dashboard in sensitive data, with your email address
- Up to seven years, like the invoices on which that data appears, even if your account has since been deleted
- The email address of your Google account on the list of testers (Android)
- As long as you have access. Within 7 days after it ends, we remove it from the list.
- Emails Revivo sent you (the welcome email, and when you ask to delete your account, the emails about the request, the confirmation or the withdrawal), in our sent items and in the record on our dashboard (to whom, when, subject), and the proof of that request (when it was requested, carried out or withdrawn, and whether the emails were sent; we make your email address in it unrecognisable as soon as the confirmation has been sent, and at the latest 30 days after your account has been deleted)
- As long as you have access, and then one year, as proof of what we told you and that we carried out your request
- Customers and suppliers, their contact persons, job sites, contracts, orders, quotes, notes, calls and appointments
- As long as we work together, and then seven years after the last order or purchase. This lets us follow up the relationship and handle any dispute.
- Prospects (companies and private individuals who contacted us or asked for a quote, but did not place an order), their contact persons, the quotes they asked for, notes, calls and appointments
- Two years after the last contact
- A contact person who no longer works at a customer or supplier
- We delete their phone number and job title within three months after we learn of it. Their name and email address stay with the notes, calls and appointments with them, for the period of that customer or supplier.
- Invoices, credit notes and other accounting documents
- Seven years, counted from 1 January after the year of the invoice or after the close of the financial year (Art. 60 Belgian VAT Code; Art. III.86 and III.88 Code of Economic Law). This applies even if an employee or contact person has since been deleted.
- Your to-dos
- Until you delete them, or until your account is deleted
- The photo of a business card
- Revivo does not keep it. On your device it is deleted after use and when you sign out.
- What was sent to Anthropic (photo of a card, text of a website)
- At most 30 days. If misuse is suspected, up to 2 years, and the assessment of it up to 7 years (section 7).
- VIES look-ups (only who and when, to limit abuse)
- Deleted at your next look-up after one hour, and with your account
- PDFs of quotes, invoices and price lists
- On our server until you open a next document and the previous one is older than one day, and at the latest until the annual review in January. The link to open a PDF is valid only briefly, at most one hour.
- Measurement reports (PDF)
- On our server, so that you can open and share the report. We delete them at the latest at the annual review in January.
- What the app stores on your device
- See section 11
- Error reports at Sentry
- At most 90 days
- Data sent with an update check (Expo)
- According to Expo, as long as reasonably necessary; Expo does not state a fixed period.
- Logs of our database and of sign-in (Supabase)
- At most 7 days
- Logs of our server (Vercel), including those of the aerial photo
- At most 1 day
- Database backups
- At most 7 days
- Sending details of the email with your code (to whom, when, subject)
- 90 days at Microsoft 365. We do not keep the email with your code itself.
Annual review. Every year in January, we review the customer records and our storage, including the PDFs, the measurement reports, the trails and the data of employees who have left. Whatever has passed its period by then is deleted or anonymised. Invoices and other accounting documents stay as long as the law requires.
11. What is stored on your device
- Encrypted. The app keeps a copy of the lists and records it shows, so you can read them without a connection. That copy is stored encrypted on your device (AES-256). The key is kept in your device's secure storage (Keychain on iPhone, Keystore on Android). It never leaves the device, not even in a backup.
- How long. The copy of lists and records is at most seven days old. Your most recently opened records, your recent searches and changes still to be sent to the server remain until you sign out.
- Deletion. The app deletes all of this as soon as you sign out. It also deletes it the next time it goes online after your access has been stopped.
- A photo of a business card that has not been read yet is not encrypted. The app deletes it right after use and when you sign out.
- Map tiles. The map tiles you viewed are stored unencrypted in the app's cache. They contain no customer data, but they do show which places you looked at. They disappear at the latest when you delete the app.
- Settings. Your preferences (such as the map layer and your navigation app), your choice about reading with AI and a random number per installation (for updates and error monitoring) are not encrypted and contain no customer data. They remain after you sign out, until you delete the app.
What ends up outside the app is no longer covered by this deletion:
- a contact person you saved to your address book with Bewaar op mijn gsm (it may sync with iCloud or Google);
- a PDF you open or share;
- what you copy to the clipboard;
- an email, text message or route you start from the app in another app.
12. Security
- All traffic between the app, our server and the database is encrypted (HTTPS).
- Only email addresses Revivo has given access receive a sign-in code. On every request, the server checks again whether you still have access.
- Secret keys are kept only on the server, never in the app.
- Ducatus (section 8) has access to the server and the database, only to build, maintain and secure the app.
- We ask employees to lock their phone with a passcode, fingerprint or Face ID, and to keep the operating system and the app up to date.
- If you lose your phone, tell an administrator right away: they will switch off your access.
13. Your rights
You have the right to:
- know which data we hold about you, and receive a copy of it;
- have incorrect data corrected;
- have your data deleted, for example when we no longer need it, when you have objected on valid grounds or when we process it unlawfully. What we are legally required to keep, such as invoices, we only delete after that period;
- have the processing restricted;
- receive data you gave us yourself for a contract in a common format (portability);
- if a processing is based on your consent, withdraw that consent. Today, no processing in the app is based on consent.
As a user, you can switch off reading with AI at any time in Meer › Instellingen (More › Settings). From then on, nothing more is sent to Anthropic. What was already read, Anthropic deletes as described in section 7; what you saved yourself stays in the customer records. This is a setting in the app, not a withdrawal of consent (see section 4). Choosing Zelf invullen (Fill in myself) has no adverse consequences for you.
Objection. Much of what we do is based on our legitimate interest (section 4). You can object to it at any time, on grounds relating to your particular situation. We then stop, unless we have compelling grounds that override your interests, or need the data for legal claims.
Objection to direct marketing. We do not use our customer records to approach new customers unsolicited. If we use your data to offer you our services, for example as a customer, as a contact person of a customer or after a quote you asked for, you can object to this at any time and without giving a reason. We then stop immediately.
How. A single email to info@revivo-recycling.be is enough, and it is free of charge.
- We reply within one month. If your request is complex or we receive many requests, this may take two more months; we will tell you so within the first month.
- If we are unsure who you are, we ask for confirmation.
Complaint. If you believe we are not handling your data correctly, you can file a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit):
- Drukpersstraat 35, 1000 Brussels;
- +32 2 274 48 00, contact@apd-gba.be;
- www.dataprotectionauthority.be.
You file a complaint through the authority's web portal, or with the paper form by post. If your complaint is about your rights, exercise them with us first; the authority asks you to give us one month to reply.
14. Deleting your account
In the app: Meer › Instellingen › Account verwijderen (More › Settings › Delete account). If your version of the app does not have that button yet, use the route without the app below.
- Your access stops immediately, on all your devices and on our dashboard.
- We delete your account within seven days.
- You receive an email at your work address when you make the request, and another when it is done.
Without the app. Email info@revivo-recycling.be from your work email address. If you no longer have that address, email us from another address with your full name; we will first ask for confirmation. As soon as we have your request (and, if needed, your confirmation), we switch off your access. We delete your account within seven days, and confirm it by email to the address the request came from.
Changed your mind? Email us as soon as possible. As long as the deletion has not started, we can withdraw your request; you will receive an email about it.
What is deleted:
- your sign-in account: your sign-in data and your sessions;
- your to-dos, your profile photo, the link with your Microsoft mailbox (including your Outlook calendar), your appointments from Outlook and from calendars via a link, those links themselves, and the PDFs you opened or created in the app;
- your email address on the Google Play list of testers;
- Revivo's data that the app stored on your device. On another device this happens as soon as it goes online.
What remains:
- The customer records. What you wrote in them (companies, contact persons, notes, calls and appointments) remains as part of our customer history, for the periods in section 10. Notes and calls remain without you as the author, without a link to your account.
- Land management. In the log of a land management file, your email address may remain with what you did, for as long as the file is kept.
- Your data as an employee (name, work email address, phone, job title). Revivo manages it as your employer, separately from the app, with the periods in section 10. Your name remains visible in the order history, on tasks and in the calendar.
- Emails and the proof of your request. The emails Revivo sent you, their record on our dashboard and the proof of your request remain until the period in section 10.
- Trails and logs. Your account's trail, and if you were an administrator the trail of what you changed in sensitive data, remain with your user ID and your email address until their period ends (section 10). In the sign-in trail and the technical logs, your email address remains until their period expires.
- Backups. Copies in our database backups disappear automatically, after at most seven days.
- Invoices and other accounting documents, as long as the law requires (section 10).
- On your device: what section 11 says remains until you delete the app, such as your preferences.
More information: revivo-recycling.be/contact.
15. Changes
Does something essential change, such as a new feature, a new service provider or a different purpose? Then we update this page before the new version of the app is released, and we let employees know by email in advance. If we are going to use data of customers, suppliers or contact persons for a new purpose, we let the people concerned know in advance, for example in our next email to them. If a new AI feature is added, the app asks for your choice again. The date at the top shows when the page last changed.
- 16 October 2026
- First version, revised and expanded the same day: what is sent to Anthropic (not the VAT number), how long a PDF link works, legal bases, retention periods (also for the customer records, sessions, trails and emails, with an annual review), service providers and transfers, recipients outside the app, the map and your location, your rights, and what remains after an account is deleted.
- 18 October 2026
- Ducatus BV named as our processor: Ducatus builds and manages the app, the dashboard and the server, and engages the service providers in section 8 as sub-processors (sections 7, 8, 9 and 12). The English translation now follows the Dutch text everywhere.
- 29 October 2026
- Your Outlook calendar and private calendars via a link, if you switch this on yourself: what we read and write, who sees what (colleagues only "busy", Mon–Fri 7:00–17:00) and for how long (sections 4, 5, 8, 10 and 14).
